Refund and cancellation policy

Scope

These rules cover seats in Toolkitcove workshops and private group sessions confirmed after an enquiry. This site does not take payment; refunds apply to fees paid by bank transfer or other offline methods we agree in writing.

Eligibility

Full refunds are available when you cancel a confirmed seat at least 7 full days before the scheduled start (ICT). Cancellations between 6 days and 48 hours before start may receive a 50% refund. Cancellations inside 48 hours are generally non-refundable.

Partial refunds

If Toolkitcove shortens a session for reasons under our control (facilitator illness without a replacement, venue failure), you may choose a reschedule or a partial refund proportional to unused time.

Non-refundable items

• Printed or prepared materials already produced for a private group after you approved the run-of-day.
• Third-party venue fees we paid on your behalf when those fees are non-recoverable.
• No-shows without prior notice.

Work already started

Once a studio has begun, fees for that seat are non-refundable. If you leave early for personal reasons, we do not credit unused hours unless we agree otherwise in writing for accessibility or emergency cases.

Deposits

Private groups may require a deposit to hold a date. Deposits become non-refundable inside 10 days of the event unless we cancel. Deposits convert toward the final fee when the session runs.

Rescheduling

You may request one free reschedule with at least 5 days’ notice, subject to open cohort dates. Later reschedule requests may forfeit the deposit or require a new deposit.

Toolkitcove cancellations

If we cancel a session, you receive a full refund of fees paid for that seat or a transfer to another date at your choice.

How to request a refund

Email hello@toolkitcove.click or call (84-19) 03 867 439 with your name, studio title, date, and payment reference. We confirm eligibility within 3 business days.

Processing time and method

Approved refunds are returned by the original payment method within 10 business days after approval. Bank processing times may add a few days.

Exceptions

Documented medical emergencies or government travel restrictions may qualify for goodwill credit toward a later studio even inside the standard windows. Credits expire after 12 months.
